Legal Secretary III: Performs complex legal secretarial and administrative support work for one or more Department attorneys.
Maintains complete and accurate control of legal files.
Work includes preparing and typing legal and administrative correspondence and documents.
Develops and maintains appropriate and professional working relationships with agency staff and the legal community.
Assists in establishing and maintaining tracking systems to ensure timely and efficient processing of all legal tasks within the unit.
Ensures that all Department attorneys' are adequately supplied and that office equipment is maintained.
Performs other duties as assigned.
Works under limited supervision with considerable latitude for the use of independent judgment and initiative concerning proper methods and legal procedures to accomplish assigned duties.
Essential Job Functions: In addition to those listed under "Job Description", orders supplies, organizes files and correspondence, and all confidential materials in personnel files, training and travel folders and case files.
Knowledge Skills Abilities: Demonstrates knowledge of spelling, punctuation, sentence structure, grammar, and arithmetic.
Ability to file and organize records chronologically.
The ability to maintain and organize electronic files/documents.
Ability to prioritize work and complete tasks in an efficient and timely manner.
Ability to plan and organize work flow.
Ability to handle telephone calls in a professional and efficient manner.
Proficient in the use of Word, Excel, Microsoft Outlook, HOTDOCS as well as the ability to learn the use of other computer programs; the understanding to recognize confidential information and the ability to keep that information confidential.
Registration or Licensure Requirements: None required, but Notary Public is preferred.
Initial Selection Criteria: Prior secretarial experience or prior experience working in the legal field.
Some education beyond high school is preferable.
Additional Information: Physical requirements for this position include the ability to drive a vehicle, lift and carry objects, operate a computer, including operating word processing, data management and other computer software, to be capable of reading and verbal and written communication and to operate office machinery and equipment, including faxes, copiers and printers.
