Under general supervision, provides support to District/County Attorneys and staff including preparing civil and criminal documents, maintaining case files, and performing related tasks.
Legal Assistant I is distinguished from Legal Assistant II by the performance of less complex work requiring a narrower scope of knowledge, skills, and abilities.
Essential Duties and Responsibilities:
Establishes and maintains case files in accordance office procedures and protocol.
Uses computer system(s) and/or spreadsheet software to maintain case, status, and scheduling information.
From case file review or general instructions from staff attorneys, prepares a variety of legal documents such as affidavits, motions, petitions, orders, subpoenas/summons, trial briefs, indictments, and pleas; proofreads all documents to insure proper case number, content, grammar, and spelling.
Obtains criminal history records, investigative reports, court settings, and other necessary information or documents.
Prepares pen packets and forwards to Sheriff’s Office; prepares correspondence and notification letters; prepares pleas information and case disposition forms; prepares basic workload reports, as assigned.
Receives and reviews court dockets; prepares for hearings and trials by pulling and checking case files and arranging them by appropriate court.
Computes jail time served by defendants, as needed for hearings or document preparation.
Uses charging manual or other references to obtain offense and CJIS codes, degrees, citations, statutes, and related information.
Attends hearings, court proceedings, or Grand Jury sessions as requested by Attorney to prepare or revise legal documents, as necessary.
Interacts with attorneys, investigators, court and law enforcement personnel, probation officers, Tom Green County employees, and others to obtain or provide information about cases, defendants, court status, and related matters.
Duplicates and distributes copies of case documents to the District Clerk, Sheriff’s Office, Probation Department, prosecutors, defense attorneys, and others as required.
Assists other staff during absences or periods of heavy workload; assists receptionist in greeting the general public in person and by telephone, answering questions and/or directing to the appropriate party.
Assists in maintaining the department’s law library, as assigned.
May assist in training new and/or temporary employees, as necessary.
May accept and receipt payments for restitution or court costs; forwards payments to the County Treasurer.
Performs other duties as assigned.
Knowledge, Abilities, and Skills:
Knowledge of general office operations and records maintenance; knowledge of the operation of personal computers for inquiry and data entry; knowledge of legal terminology, documents; proceedings and processes; knowledge of English, spelling and grammar.
Ability to perform work responsibilities in a timely and accurate manner; ability to work independently and meet regular deadlines; ability to work effectively with staff and others; ability to operate a variety of office equipment and word processing software.
Skill in oral communication and interpersonal relations.
Physical Requirements and Work Setting:
Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 15 lbs; visual acuity, hearing ability, and manual dexterity required.
Education and/or Experience Required:
Two years of secretarial or general office experience: OR, one year of experience providing knowledge of legal documents and terminology; OR, completion of a recognized legal assistant training program may substitute for the required experience.
