Job Description: Office Location: Abilene, Texas, United States SCOPE/RESPONSIBILITIES: Incumbent assists the talent acquisition team and hiring managers to facilitate a seamless workflow for each new employee.
Incumbent will be responsible for assisting new employees as they join the company by explaining the onboarding process, assigning tasks to each new hire, and closely monitoring each assigned task for completion.
A strong sense of urgency and exceptional organizational skills are critical for success in this role.
Attention to detail and the ability to multi-task are of high value in this position.
Incumbent has very frequent contact with applicants and hiring managers across the organization.
Contact is by telephone and face-to-face.
Work is regularly reviewed.
Physical effort required is light.
Incumbent must actively participate in the Customer Service First sales and service culture, support the values of the organization, and follow established Bank policies and procedures.
ESSENTIAL FUNCTIONS: Responsible for preparing, assigning, and ensuring the completion of all new employee documents within a specified and limited timeframe.
Establishes and clearly communicates the expectations and deadlines for all new employees.
Thoroughly explains each step in the onboarding process and answers any questions from new employees/hiring managers regarding the assigned tasks.
Collects, organizes, and processes all new employee documents.
This includes, but is not limited to, all offer, onboarding, orientation, and manager documents.
Follows up with all new employees when deadlines are not met, or tasks are incomplete, and communicates these issues/concerns with the talent acquisition team and/or hiring managers.
Manages employment verifications including, but not limited to, I-9 verifications.
Initiates all pre-employment screenings including, but not limited to, background checks, drug screenings, and CHEX/CIF inquiries.
Manages and maintains all new hire packets, and ensures they are appropriately filed in the personnel database.
Ensures compliance with federal, state, and local employment laws and regulations, and company policies.
Maintains the integrity and confidentiality of all files/records across the entire HR Department and within the Bank.
Performs special project assignments for leaders and colleagues within the HR Department and across the Bank.
Provides assistance and support as needed for HR Department tasks, programs, and projects including front desk coverage, back-up coverage, and other related duties as assigned.
Cross trains in support of other HR Department functions as assigned.
Performs all other duties as assigned.
MINIMUM QUALIFICATIONS: Bachelor’s degree in Human Resources or business-related field, or 1 year of human resources or equivalent work experience.
Equivalent experience in lieu of a Bachelor's degree will be considered (minimum one year of direct administrative experience in an HR environment; or a minimum of two years' administrative experience in an office environment).
Two (2) or more years’ experience processing high-volume data entry.
Excellent verbal and written communication skills.
Excellent interpersonal skills.
Proactive and independent mentality with the ability to take initiative.
Excellent time management skills with a proven ability to meet deadlines.
Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
Proficient with or the ability to quickly learn HRIS system, applicant-tracking software, or other recruitment systems.
Proficient with Microsoft Office Suite or related software.
