*Job purpose*
The Bookkeeper/ Administrative Assistant is a full-time position performing bookeeping and administrative duties in the office for TruClear Water Solutions, Inc.
(TCWS).
*Duties and responsibilities*
The Bookkeeper/ Administrative Assistant must be able to multi-task and complete bookkeeping and administrative assignments to ensure the office operates efficiently and smoothly.
Duties and responsibilities include but are not limited to the following:
* Enter data into Quickbooks online including, but not limited to, expenses, invoices, reimbursements, and related bookkeeping functions; able to produce all work with a high level of accuracy.
* Working with the Financial Controller to complete all administrative and bookkeeping duties in the office and ensure that office is operating smoothly.
* Perform clerical duties such as filing, photocopying, transcribing, and scanning.
* Receive, sort, and distribute daily mail/deliveries; mail items as needed.
* Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, and research as needed.
* Maintain supply inventory by checking stock to determine inventory level, anticipating needed supplies, and expediting orders for the office.
* Answering phones and responding to all customer inquiries in a polite and timely manner
* Other duties as assigned.
*Qualifications*
* Strong interpersonal skills to interact positively with all customers, vendors, and employees.
* Attention to detail to ensure tasks are completed thoroughly and correctly.
* Familiarity with Microsoft Office Suite and Google programs
* Experience with bookkeeping, including accounting entries, expenses, invoices, accounts payable, expense processing, and related accounting functions preferred
* Experience with QuickBooks Online
* Demonstrated ability to learn new software applications quickly with minimum support
* Strong written and verbal communication skills to produce reports, accept instructions and handle vendor contracts, among other tasks
* Hands on experience with office machines (e.
g.
, copiers, scanners, printers)
* Excellent time management skills and ability to prioritize work
* Organization and the ability to multitask to complete a wide variety of tasks
* Flexibility to learning new tasks if the company or office needs change
*Working conditions*
The Bookkeeper/ Administrative Assistant works mostly in a traditional office setting.
Activities include extended periods of sitting while working at a computer and occasional fast-paced operations and events.
May be exposed to loud sounds and distracting noise levels, such as from office equipment
*Physical requirements:*
Must be able to perform the following:
* No heavy lifting is expected.
May require occasional lifting up to 20lbs.
* Sitting for extended periods of time at a desk and working on a computer.
*Direct Reports:*
This position will be assigned direct reports by the Financial Controller and/or the TCWS Executive team.
